Scan converters cost as little as 99 dollars for the Averkey imicro,
all the way up to 6,7,8 thousand bucks and more, depending on features
and ho persnickety your quality needs are, and most all of them are
platform-agnostic. You put this piece of gear in between the laptops
and the input of the projector, just like it's a VGA cable. Nobody
needs to add anything to their computer, no software, do drivers,
nothing... mac, PC, Linux, don't matter... they just plug into this
box, which passes the signals on thru to the projector, and off the
side of the box you get composite, component, s-video, digital video...
whatever level of output you are willing to pay for, real time,
WYSIWYG. Your delay between laptops and the presentations is only the
same amount of delay as if they were all lined up to hook into the
projector one at a time., and usually they take afew minutes' break
between speakers anyhow. You can feed any kind of recorder you want
with this signal, run a separate audio-in from the Pa system to capture
the speaker's audio as voice-over. later, you can edit this and mix in
footage of the speakers taken with a camera on close-up, if you want to
improve the look.

For a one-time gig, look to rent something like a mid-range Scan-Do Pro
or Scan-Do Ultra, or an Extron. The more you pay, the more features
you get, like flicker reduction, and the ability to re-size and
re-proportion the screen to work better on a TV.

Really, it's dirt simple.
